  • Information Technology - drives innovation and innovation is the path to business success.

  • Goods Producing Organizations - Agriculture, Forestry, Fishing and hunting, mining, construction, manufacturing
  • Service Rendering - Utilities, Wholesale/retail trade, transpo and warehousing, finance, insurance, real estate, rental, professional and business services, educational services, arts, entertainment, recreational, accommodation, and other services
  • Business Tools - can be considered as any asset that helps or assists the organization to achieve its stated aims or objectives.
  • Tools Consideration - portable, require, use involves a cost for the org, require maintenance, possible repair issues, software use issues
  • For Storage and Control, the ff. should be kept and record: brand, model, purchase date, supplier, warranty expiry date, depreciation, department, serial number, associated equipment, storage location
  • In Associated Equipment, these are additional items that help the asset functions - power cables, lens for cameras, memory cards, carry bags, software upgrades
  • Usage: what is acceptable business usage?
    Establish rules or policies on tool use, have controls that restrict use to business purposes.
  • Proper ways of using Business Tools
    • Telephone/cellphones
    • Internet access
    • Business website
    • Software applications/systems
    • Social networking
    • Email
  • Communication Tools :
    • Email - rules on private use, content, presentation of emails
    • Telephone landlines, mobile phones
    • Neet to set access rules where calls can be made to
    • Also need to set rules how long for personal calls
    • Some systems may require training
    • Answering the telephone to external people will impact on the business
  • Tools can be given to staff for business use
  • Damage:
    • Any damage to the tool must be recorded
    • Action to be taken to repair the damaged tool
    • Maybe actions of urgency if the damage is significant to the operations of the business
    • Consideration as to the damage and cost
  • Audit :
    This is a check on the control procedures:
    • Do the control procedures function correctly?
    • Can they be improved?
    • Are they reasonable?
    • Should be conducted on a regular basis
    • Is the tool still required?
    • Should it be replaced?
  • Which tool is required?
    It is important to select the best tool for the job
    • What will the tool be required to do?
    • What consumables are required?
    • Detail is important to be able to select the correct tool
  • Tools which require training
    • May be brief when collecting the tool
    • May actually require a training course
    • Each tool will have some details that users need to know
    • How do you replace consumables?
    • Where is the documentation?
  • Consumables :
    An essential item that a tool requires to be able to function
    • A sufficient supply of consumables is important
    • Sources, stock levels, and order levels need to be recorded
    • Who has access to consumables?
    • Who does the ordering?
    • Who has to be ordered?
    • Supplier - from whom do we order?
    • Delivery time
  • Maintenance :
    Most tools require maintenance
    • In-house done on a regular basis
    • Regular maintenance that must be done by expert
    • Some maintenance requires a higher level of skill than simply using the tool
  • Repairs :
    Repairs are often required to keep the tool functioning
    • Who authorizes the repairs?
    • Should maintain records of how the damage occured
    • Did the damage occur as a result of normal usage
    • If not, who pays?
  • Basic Common Skills
    These are skills required to use the tools
    • Clear paper jams
    • Clean monitors, keyboards, etc.
    • Replace consumables
    • Change papers in the copiers
